Three lists, one number
The number on the shopfront, the Google listing and the cards in the windscreen is one number. A caller who wants a driving lesson tomorrow at five, a caller who wants Thursday’s theory, and a caller who wants a test date all dial it. Before anyone says yes to a time, the assistant has to know which job this is.
A driving lesson holds an instructor and a dual-control car. It often wants a pickup from a metro or a square. It has a length you already use, and it cannot sit on top of another lesson in the same car.
A theory class holds a room, a group, and the evenings you already run. It is not a one-to-one in a car.
A test date is not yours. The transport office gives you a date, or it does not. You accompany. You block the morning. You do not print a Tuesday because someone asked nicely.
Those are three lists. They do not use the same person, the same car, or the same stretch of ground. Taking a message and promising that someone will look at the list later is the job a voicemail already does. Finishing the call means the time it offers is free when the student sits down, or when they walk into the theory room.
Read the matching list before you offer. Write the booking before you confirm. If that list cannot be reached, say so and take a callback. A time the caller was promised and the evening list has never seen is worse than no booking.
What goes wrong when the lists are one list
The failure is not “the phone rang”. The failure is a time that sounded finished and was not.
A student is given Thursday at 17:30 from a gap on a sheet. That hour is a test morning, or it is Maria’s motorcycle hour, or it is Kostas already out. They arrive at Agia Paraskevi metro. The car is still in Piraeus.
A theory student is given 17:00 from the car calendar. They turn up at the school. The room is dark. Thursday’s theory is at 19:00, and 17:00 was a driving lesson.
A test date is spoken because the caller asked for Tuesday. The transport office has not given you a Tuesday. The student takes the morning off work. You own that morning.
A caller wants to move Thursday at 17:30 to Friday at 18:00. Handled as cancel-then-book, 17:30 is still in the book while the assistant looks for 18:00. They are told Friday is tight. Sometimes they are told their own Thursday is the reason. Then, if the new time fails, Thursday is gone as well, and they have dropped out of the diary.
A 17:00 lesson is booked with no meeting point. Kostas waits in Glyfada. The student waits in Marousi.
None of that is a missed call. It is a booking that should not have been spoken.
Driving lesson — instructor and car
The first question is the split the person at the desk already asks without thinking. Driving lesson, theory class, or test date. Then who they usually go with, if they have already started. Then the list that matches.
Driving lesson. An instructor, a dual-control car, a stretch of time that is actually free. All three. A free instructor is not enough. A free car is not enough. If Kostas is out from 16:00 to 19:00, 17:00 is not free. If the car is on a test in the morning, 10:00 is not free.
If the assistant skips “who do you usually go with?”, it offers Maria when the student has only ever sat with Kostas, and Maria is already in Nea Smyrni. If it skips the car, it offers an hour when that car is already on a test morning.
Write how a lesson works. How long. Who takes category B. Who takes motorcycles. Who takes automatic, if only one of you does. That they should say where to meet if you pick up. If only Kostas takes automatic, do not treat the lesson list as one pool. A free hour on Maria is not an automatic lesson.
If two people want 17:00 with Kostas, the assistant must not invent a second 17:00. It offers the next real stretch with him, or Friday at 18:00. It does not squeeze them in. It does not put two students in one passenger seat.
When the diary cannot be reached, the answer is a callback, said plainly. The assistant does not hold an hour it cannot see.
A new student who has not started yet still needs an instructor and a car. They do not have a “usual” person. Offer someone who actually takes new names that week. Do not invent a trial hour on Saturday morning because the sheet looks empty. Empty on the sheet is not free in the car.
Theory class — the room and the evening
Give it the evenings you already run, not a catalogue. Tuesday and Thursday at 19:00, if that is you. The room. How many chairs you actually allow. The assistant looks at the theory list only after it knows this is theory.
A caller who says “lesson” and means the classroom has to be asked. If you only run theory on Tuesday and Thursday, those are the times it may offer. It must not invent a private theory hour on Saturday morning because that hour is empty on the car calendar. The car calendar is the wrong list.
A theory place is a chair on an evening you already run. If Thursday is full, the honest answers are the other evening, if it has a place, or a note. An assistant that has not looked at the list, and still says there is a place, has invented one.
If you do not run theory at all — some of you send students to a shared classroom, or you only do the car — say so, so it stops taking those bookings.
A theory evening is not a driving lesson. Do not let a lesson caller take a chair in the room because Kostas is out.
Test date — you do not own it
In Greece the date comes from the transport office. You accompany, you prepare, you block the morning. You do not print a date because a caller asked nicely.
The assistant may repeat a date you have already written down for that student. It may take a name and a request if you do not have one yet. It must not pick a Tuesday and say they are in. It must not offer the next empty morning on your lesson list as if that were a test.
A test morning also takes the instructor and the car. That morning is not a lesson morning. Mark it the way you mark a day off, or the assistant will fill it.
A caller who asks “am I ready?” is asking you, not the phone. The assistant does not decide that. It has not sat through the last junction. It books another driving lesson if that is what you allow, or it takes a note. The same rule covers a parent who wants a date before the student has finished theory. Theory first, then the car, then the test — in that order, and only the steps you actually run.
Where you meet on a test morning is a fact you already have, or it is a note. The assistant can repeat a meeting point you wrote down. It must not invent one at a building it has never sent anyone to.
Pickup, or they come to the school
Some of you collect from a metro, a square, a house. Some of you meet at the school. A lesson booked at 17:00 with no meeting point written on it is how Kostas waits in Glyfada while the student waits in Marousi.
Ask, then write it on the lesson. If you do not pick up, say so in the notes so the assistant stops promising a collection it cannot keep.
A moved lesson still needs a meeting point. Thursday at the metro is not Friday at the school unless they said so. Confirm it when the hour changes.
If you pick up only inside a line you already use — this metro, that square, not the other side of the city — write the line. The assistant should not promise Marousi if you only collect in the south.
Who they usually go with
Many small schools have no one sitting at a desk all day. The person who would have picked up is the person in the passenger seat. The assistant has to know who teaches what.
Kostas takes category B. Maria takes motorcycles. If only one person does automatic, an automatic lesson can only go on that person’s hours. If someone sits in on theory and does not take the car, the assistant must not offer them for a driving lesson.
Write it down the way you would for a new hire: who is in, who takes B, who takes A, who is off, which car they have. The assistant will honour a list it can see. If the list is empty, it will offer times nobody can actually take.

Moving Thursday at half past five
The caller already has a time. They are not making a new booking. They are changing one.
Handled as “cancel, then book”, Thursday at 17:30 is still in the book while the assistant looks for Friday at 18:00. The caller is told their preferred hour is taken — by a system looking at their own lesson. Then, if the new time fails, Thursday is gone as well.
The order is: find the existing lesson, release it, offer two times that are actually free, place one, send the new confirmation. In that order.
A moved driving lesson still needs that instructor and that car. Friday is not Thursday moved. Kostas may already be out at 18:00. The car may be on a test morning. Confirm the pickup still works.
A moved theory place still needs a matching evening with a chair. Thursday’s theory does not become Saturday’s empty car hour.
A moved test question is not a move. If they have a date from the transport office, you do not change it from the phone. If they want a different morning, that is a note for you.
Test this before anything else. Pick a student who already has Thursday at 17:30 with Kostas. Ask the assistant to move it to Friday at 18:00. Watch whether their own hour blocks them, and whether Kostas and the car are free at the new time.
After a move, the reminder goes to the new number and the new date, not the old ones. The old SMS must not still say 17:30.
A cancel at twenty to five
Let callers cancel through the assistant. A 17:00 lesson released at 16:40 can be offered to the next person who asked. A Thursday theory chair released on Wednesday can take the next name. The same cancellation arriving as a silent gap at five is an hour you will not get back.
Write the cancellation back to the matching list immediately, the same way a booking is written. A cancellation that is only in a transcript is a cancellation the next caller cannot be offered. Freeing Kostas does not free the theory room. Freeing the room does not put the car back on offer.
Treat “I need to move it” as a change, not as a cancel plus a hope. Otherwise you open the old time, fail to place the new one, and have lost them from the book entirely.
It should not offer a free replacement hour. You do not owe a free extra hour because someone cancelled yesterday. If that is not a rule you already say out loud, do not write it into the notes. It will read the sentence out.
Say the cancel rule you actually use at the end of a new booking. If you have no rule, do not invent one for the assistant.
Saturday motorcycle lessons are their own weather problem. If you cancel bikes in the rain, write that down. The assistant can tell a caller the bike hours are off and offer the next dry day you have marked. It must not move them onto a category B car to be helpful. That is a different licence and a different instructor.
The text after the call
Send the confirmation at the moment of booking, not at the end of the day. A student who leaves the call unsure whether Thursday is real will ring again, or will book a lesson at the next school “just in case”. The assistant sends the SMS itself, in the language of the conversation. Seventy-plus languages. Nobody at the desk types a number.
The rule is mechanical. The message goes out after the diary entry exists in the matching list. For a driving lesson it names the hour, the instructor, and the pickup if there is one. For a theory class it names the evening and the room. For a test date it names only a date you already have — or it does not send a “see you Tuesday” at all.
No entry, no message. An entry against an hour the car cannot take, no “see you at five” — a flag to you instead. A text for a 17:00 that was never free is worse than no text. The student arrives. You own the empty pavement.
The reminder is a different job. An empty lesson hour costs the same whether the student was never booked or booked and forgot, and the second kind is easier to prevent. A day ahead is the usual starting point. A same-afternoon reminder helps a 17:00 more than a Tuesday theory, because after work is when people are still at the office and change their minds.
Once the booking is real, where to meet, and the cancel notice you actually enforce, can go in the same message if you want them there. A test date you do not have cannot. A remaining- hours figure cannot.
The first thirty bookings
Look at the first thirty by hand. The diary entry, the type, the person, the car, the pickup, and — for a test — whether that date was actually in the file. You are not looking for a system that does not work. You are looking for the type nobody thought to configure, the instructor who does not work Friday, the test morning it sold as a lesson, the motorcycle hour it offered as category B. Those exist in every small school. None of them are in the setup form.
Pay particular attention to four things. A theory student sitting in a car hour. A lesson booked against an instructor who is already out. A test date spoken that the transport office has not given you. A 17:00 with no meeting point. Any one of those is a configuration problem, and it will repeat until the type is corrected.
Then look at the hours that tried to become bookings. If any of them received a firm five o’clock when Kostas was already out, the free-hour rule is not tight enough. Tighten it before you count how many appointments the assistant placed.
After that, spot-check weekly for a month and then leave it alone.

What empty after-work lesson hours cost when a cancel never reaches the book
Worked from these assumptions — change any of them and the answer changes:
- Two instructors, about 40 driving lessons a week. Put your own weekly count in.
- About 4 of those 40 are empty: a no-show, or a cancel that never reached the list. Check your own week.
- An empty 17:00 hour is not filled the same afternoon.
- Time for one of those hours — the instructor, the dual-control car — is about €40 in this example. Use your own figure. This is the number to change first.
- A 16:40 cancel written back into the lesson list lets you offer 17:00 to the next person who asked. This example assumes you would fill 2 of those 4. Change that if yours is lower.
- 4 empty lesson hours × €40 = €160 of after-work time that bought nothing.
- Writing the cancel back at 16:40 is what frees that car for the next caller who wanted five o'clock.
- Over 46 weeks, if nothing changes — 46 × €160. Put your own weeks in if you close in August.
- That is only the hour. It does not count the new student who hung up because Thursday still looked full.
